Job Description

We are seeking a skilled and motivated Executive Assistant to join our growing team remotely. This is an exciting opportunity to support a variety of clients and contribute to the smooth functioning of their operations. As an Executive Assistant, you'll provide vital support to senior leadership, assist clients with their operational needs, and help maintain effective communication and organizational systems. This is a remote role, and we are seeking candidates based in Florida, Maine, Ohio, or Texas.

Key Responsibilities:
Support Leadership: Work closely with the Director of Business Operations to streamline daily tasks and manage priorities.
Client Relations: Serve as a point of contact for various clients, ensuring smooth communication and efficient workflow between executives, management, and employees.
Process Improvement: Help refine internal processes that enhance service delivery and client satisfaction.
Calendar & Scheduling: Coordinate complex schedules and manage calendars, ensuring all appointments, meetings, and events are organized seamlessly.
Travel Coordination: Arrange travel logistics, including booking flights, accommodations, and ground transportation for clients.
Administrative Support: Assist with various administrative tasks such as document management, typing, data entry, and maintaining filing systems.
Confidentiality: Handle all communications and sensitive materials with the utmost professionalism and confidentiality.
Event Planning: Organize events or special activities for clients as needed.
Timely Communication: Respond to client inquiries within a maximum of 4 business hours, demonstrating efficiency and promptness.
Daily and Monthly Tasks (Subject to Client Needs):
Organize and manage client communications and ensure information is relayed accurately.
Track and update records in the timekeeping system.
Help manage office operations and administrative tasks that support client needs.
Collaborate with internal and external teams to ensure organizational goals are met and deadlines are achieved.
Assist with other tasks as necessary to support business operations.
Skills and Qualifications:
Experience: Minimum of 4 years in an administrative role, directly supporting senior management.
Real Estate Support: Experience working in the real estate industry or supporting brokers is a plus.
Communication: Exceptional written and verbal communication skills.
Organization: Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
Technical Proficiency: Comfortable using Microsoft Office Suite and other office productivity tools; quick to learn new software and systems.
Team Player: Flexible, adaptable, and willing to take on new challenges to help the team succeed.
Discretion: Ability to maintain confidentiality and handle sensitive information with care.
Self-Starter: Motivated to work independently while maintaining excellent performance.
Preferred Qualifications:
Experience with process development and filing system creation.
Associate's degree or higher in business administration (or equivalent experience).
Familiarity with CRM systems such as Active Campaign, Zoho, or Pipedrive.
Work Schedule:
Hours: Monday to Friday, part-time with potential to grow into a full-time position.
