Job Description
Our client, a top media and entertainment company, is seeking a detail-oriented and highly organized Executive Assistant for their Lake Buena Vista, Florida office. This role combines executive-level administrative support with hands-on office coordination, requiring a balance of professionalism, resourcefulness, and a service-oriented mindset. Initially the role will be focused on the Executive Support responsibilities with the additional responsibilities used if time permits.
- Assignment length: Approximately Five Months
- Schedule: Onsite 8:30AM-5:30PM Monday-Friday
- Pay rate: $28-$32/hour Depending on Experience
Responsibilities:- Manage complex calendars, schedule meetings, and coordinate travel logistics for executives in the department.
- Handle confidential and sensitive information with discretion.
- Prepare and process expense reports, purchase orders, and vendor contracts.
- Draft and edit correspondence, presentations, and internal communications.
- Partner with other administrative professionals to foster a collaborative team culture.
- Coordinate equipment troubleshooting and furniture maintenance.
- Manage office supply inventory and kitchen stock.
- Monitor and report building temperature or ergonomic concerns.
- Support equipment returns for departing employees.
- Process invoices and track payment status.
- Manage welcome gifts, nametags, and business card orders.
- Provide DocuSign, notary, and mailroom support (FedEx, USPS, internal mail).
- Assist with printing and document preparation.
- Respond to questions about benefits, policies, and payroll issues.
- Assist with lost ID replacements and service award inquiries.
- Troubleshoot App Space and support conference room scheduling.
- Ship supplies to remote employees and coordinate internal logistics.
Required Qualifications:- Bachelor's degree in a related field
- 5+ years of administrative or office coordination experience.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, SAP, Concur, SharePoint, and DocuSign.
- Ability to multitask, prioritize, and remain calm under pressure.
- High level of discretion and professionalism.
